Frequently Answered Questions


What should I wear on my photo shoot?

Firstly, think about why you are having the photographs and where they will be displayed. You may wish to have the colours of the clothes to match the colour scheme of your home.

I would recommend comfortable clothing. If it is a group photograph it is quite often nice to have them matching, eg all white tops, all black tops, all autumnal colours etc

For outdoor shoots, think about the weather and what colours go with the time of year and where you are hanging your photo. Generally I would avoid bright clothing or any large print on clothing.



Can I change clothes during the portrait session?

Absolutely, yes you can change clothes as often as you like within the session time, although if you are having a short session I would recommend no more than one change of clothes


 

What about the weather ?

Don't worry if it rains bad for your outdoor photoshoot, we will reschedule for another date within that month.

If it is a just little rain shower we will still go ahead and capture your memories for you, wellies and umbrellas make a great photograph! I am always up to capture rainy and snowy photos too so if you are happy to brave the elements and get some more unusual shots, I am perfectly happy to take those outdoor pictures.


 

Can I meet you before my wedding?

Absolutely YES YES YES, I always like to meet my wedding clients for free before they book me. This means you can see more of my work, meet me and see how we get on. It is very important you get on well with you wedding photographer as they will be spending your special day with you and you are trusting them to work closely with you.

​Once you have booked me I am always here for any questions. We also have another meet up about 6 weeks before your wedding day to finalise any timings and other things needed.

 

What happens if my photographer is ill or has a family emergency on my wedding day?

I would only ever cancel in exceptional circumstances.  I work with a good network of wedding photographers in the Yorkshire area and I am in many social photography groups. I would help you find a substitute photographer from this group, so that you don't need to worry about finding an alternative.

 

How do I pay?

I do prefer everything through bank transfers to my account at Vicky Rennison Photography, but also accept card payments. so your money is always traceable, all the details will be on my invoice.

​For weddings and events I require a £250 non refundable deposit to confirm a booking, with half the balance to be paid 6 month before and the full balance 1 month before the wedding. I also accept any payments plans.

For family photoshoot I require a £50 deposit to confirm the booking and full balance to be paid 1 week before the session - unless stated otherwise.

 


What happens if I cancel after I have paid?

If Client cancels the Event entirely, then Photographer shall not be required to repay any of the payments made by Client.


Do I get prints?

Some of my packages include prints. If you select a package that does not include prints or would like additional prints or wall art these can be ordered from me. 


What does digital image mean ?

Digital image means you will receive the images to via your email. This means you will receive the jpeg files of your photographs and that you can then print them or share them on-line as you like. You will receive a online gallery where  you can download high resolution for printing and low resolution to share on your socials.


What are printing rights?

Once you received your digital images, this mean you have full printing rights to print them where ever you like. You can also use them on wall art or on other media, such as mugs and t-shirts.

I do not hold any responsibility for the quality of prints that have not been ordered through me.



What does copyrights mean?

Even when I supply you with the digital files, I continue to own all copyrights.. This means you can not alter the images in any way, such as adding filters, changing the colours or using photoshop on any images.


What does a Documentary New-born shoot look like?

A documentary shoot means this is less posed shoot in your own home shoot is more natural, capturing first feeds, baths, cuddles and at your own home and can include pets too. We can also do some posed shots at the end.


Will you share my images?

I like to share my images to show future clients my work and to market my business . I will do this through my website, social media and other forms of advertising like leaflets, posters etc. I also give you a contract before the shoot.

If you do not want your images shared in this way, you must inform me when you book me so that I can ensure none of your photographs will be used in this way



Can I order extra prints or digital images?

Yes definitely, I offer prints, wall art and stunning albums.


Can I order extra at a later date?

Yes absolutely.


How long will it take for my photos to be ready?

After your session I will share a few sneaky peak photos within two days. Your full gallery with be with you within one month.


How do I receive my photos?

I will make a online gallery file for you to access and view your photos. You will receive the images with my watermark across the middle. When you have decided which images you would like, I will then remove the water mark and send them again to the shared file. You can then save the images to your computer or phone and order prints or wall art etc. 

All wedding images come on a USB stick and there is the option of other shoots to be saved to USB stick as well if required. All weddings will not have a watermark will not be watermarked when you receive your full gallery

Terms & Conditions

1. Photographer’s Responsibilities. Vicky Rennison Photography ("Photographer") hereby agrees to perform photographic services for Client at the Event specified above in a professional, workmanlike manner according to the prevailing standards in the industry ("Services"). Photographer may employ one or more assistants. Photographer is not responsible for the impact on the final product of any interference caused by guests or other vendors at the Event. Photographer will make every effort to obtain, but cannot guarantee delivery of, any specific images requested by client because of Photographer’s lack of control over the Event, its participants, weather, and any rules or restrictions of the venue or official conducting the Event.

If Photographer is exposed to (i) unsafe conditions, or (ii) objectionable or illegal acts at the Event, Photographer reserves the right to take reasonable action to remedy such a situation, including but not limited to leaving the Event. In such event, Photographer shall not be obligated to refund any of the fees paid by Client because of such action.


2. Deposit/Payment. A non-refundable deposit (that shall be applied toward the total fee for the Services and will be set out in the Payment Schedule) is due upon execution of this agreement, at which time Photographer commits to being available to Client on that date (subject to non-payment, reasonable emergencies and force majeure events, see Section 11). Remaining payments of the balance due for the Services shall be made as set out in the Payment Schedule. In the event that Client fails to make payment as specified, Photographer shall have the right to immediately terminate this Agreement with no further obligation to refund money (including the aforementioned retainer), to attend the Event or to supply images.


3. Copyright. All photographs taken by Photographer at the Event, in whatever form, are copyright protected. Photographer will allow reproduction and publishing for personal use (eg. wall hangings at home, Facebook, blogs), but any sale or publication for profit without Photographer’s express written permission is a violation of federal copyright law. Photographer retains Copyright in all images taken at the Event. This clause shall survive the Term.


4. Term. The term of this Agreement shall commence upon the execution of this Agreement, and shall terminate upon Photographer’s delivery of the final gallery to the Client, unless terminated earlier as provided herein.


5. Event Changes. Photographer must be notified immediately of any changes in schedule or location, at least 7 Days in advance of the scheduled Event date. If Client notifies Photographer by phone, a written (i.e. email) confirmation must be sent within 2 days of such notification. If the date of the Event changes, and notice is not given the period specified above, then Photographer shall be entitled to the deposit amount as liquidated damages for having to reschedule the event. The deposit amount will need to be repaid upon booking the new date, subject to Photographer's availability.


6. Cancellation. Upon acceptance of these terms and payment of the deposit, Photographer shall commit to attending the Event on the specified date, and shall make no other reservations for that date. If Client cancels the Event entirely, then Photographer shall not be required to repay any of the payments made by Client.


7. Delivery and date of photographs. Client will receive all photographs via their own personalised online gallery and a USB stick. The gallery shall be delivered no later than 6 weeks after the event date.


8. Model Release. Client hereby agrees that Photographer may reproduce, publish, exhibit, and otherwise use images from the Event for instructional or marketing purposes including online without payment of any additional fee.


9. Force Majeure. If Photographer is unable to attend Event due to fire, flood, casualty, strike, civil disturbance, war, terrorism, Photographer’s sickness, or other acts of God beyond the parties’ control, then Photographer shall return all money paid by Client (including any deposit), and this Agreement shall immediately terminate. Photographer is not legally responsible for finding a replacement if circumstances arise but will offer support and recommendations of other photographers in the area.


10. Indemnification. Client hereby acknowledges that Photographer may be limited by the guidelines or rules of the official performing the ceremony or the venue, and to hold Photographer harmless for the impact such restrictions may have on the final product.


11. Protection of Deliverables/Retention of Files. Photographer shall take all reasonable steps to protect the images that are recorded at the Event until such time as the gallery is delivered to Client. Once the gallery has been delivered, Photographer shall have no further obligation to preserve the images of the Event, regardless of the form of media in which they are stored.


12.Editing of images Photographer edits all images to my style of photography. I am willing to discuss minor alterations once the gallery has been delivered. I will not carry out any airbrushing.


13. Promotion. I/we hereby give permission for Photographer to use my/our name/s and photographic likeness in all forms and media for advertising, trade, promotional and any other lawful purposes such as promotion and marketing.

Family Photo Shoot Contract


THE CLIENT

  1. I/we authorise the Photographer to arrange the photography in accordance with the details overleaf.
  2. The deposit of £50 is not refundable.
  3. I/We agree to pay the full balance of the photo shoot 7 days before the shoot date.
  4. I/we hereby give permission for Vicky Rennison Photography to use my/our name/s and photographic likeness in all forms and media for advertising, trade, promotional and any other lawful purposes such as promotion and marketing material.
  5. The details and times listed here form part of this agreement and I/we agreed to make every effort to cooperate in order for the Photographer to fulfil its contracted photographic duty. I/we acknowledge the Photographer cannot accept responsibility for the 'extent' of the photographic coverage if these details are incorrect or if I/we chose not to follow the agreed to schedule.
  6. To avoid disruption to the photoshoot and to allow the Photographer to fulfil its contracted duty; other photography by family/friends at this time is not permitted.
  7. I/we agree the Photographer owns the Copyright in all photographs. I/ we give permission to the Photographer to use any image of our sitting for industry competitions and as required subsequent usage and for reasonable general promotional advertising. The usage for any other purpose is to be renegotiated between the parties and requires specific permission by us.
  8. As the Photographer owns the Copyright, I/we agree not to copy, cause to be copied or allow anyone else to copy, photocopy, laser copy or computer scan these images. To do so is in breach of this agreement. I/we will use these photographs as agreed and understand they may not be copied or reproduced unless written approval is granted by the Photographer.
  9. The digital files remain the property of the Photographer. On delivery of the online gallery, I/We will hold all responsibility to save/backup all the images for future use.


THE PHOTOGRAPHER

  1. Should the photographer not be available for any reason, the Photographer will notify the Client of the change as soon as it is known and agree a new date.
  2. The Photographer shall carry out this photoshoot with due and professional diligence.
  3. The Photographer edits all images to her style of photography. I am willing to discuss minor alterations once the gallery has been delivered. I will not carry out any airbrushing.
  4. The Photographer will deliver the digital images via an online gallery within 14 days of the shoot date.


Brand, Commercial and Events


The Client is the person or organisation to whom the invoice is addressed (whether or not the Client is acting for a third party).
